We have formulated an approach to converting court records that produces optimum results quickly and with minimum disruption to court business. It begins with our experience in having supported court automation projects for Circuit, Superior and Municipal courts in multiple states. We complement that knowledge with on-site conversion capability that tracks the location of every court record undergoing conversion so that documents can be easily located and retrieved should they be needed.

 

We consult with court officials on a frequent basis to resolve issues and develop business rules for scanning and converting exceptional case records. And we provide comprehensive quality control practices to ensure court records are legible, properly indexed and easily retrieved.

 

Recent projects include:

 

  • The onsite conversion of paper files, large format drawings, bound books, keyed books and microfilm for Clerk of the Circuit Court in Florida. This involved developing a document control database for document tracking and configuration of a scanning center capable of handling multiple document types.
  • The creation of an onsite conversion center for a Clerk of the Superior Court in Florida. In a race against the clock ahead of Florida’s hurricane season, we converted 175 million records using a staff of 150 people. At the end of the project, the scanning assets were transferred to the Court for go-forward scanning.
  • Creation of an onsite scanning department and conversion of six million documents for an Arizona Clerk of the Superior Court. The project used locally-sourced labor supervised by an FNTI project manager, completing the project in four months.
